What a biodata actually is, and why India still asks for one

Biodata is short for biographical data — a document that leads with who you are rather than what you have achieved. It grew out of British-era administrative forms and survives in India in two places: matrimonial matches, and certain government, PSU, defence, railway, teaching, clerical and traditional family-business hiring. A biodata is factual and fixed. It states name, father's or husband's name, date of birth, marital status, permanent address, education, and closes with a signed declaration that everything stated is true. A resume, by contrast, leads with capability — summary, skills, projects, experience — and deliberately leaves out personal facts that could bias a reader. That difference matters more than the word choice. If you send a biodata to a product company or a GCC in Bengaluru, you will look dated and the recruiter has to hunt for your skills. If you send a modern one-page resume to a state government clerical post that asked for a biodata with declaration and photograph, you may be rejected on a technicality. Read the advertisement, then send the format it names.

These three words get used interchangeably in India, and the mix-up costs candidates interviews. Here is the clean distinction. Biodata: one to two pages, personal details first, education in a table, declaration and signature at the end, photograph top-right if asked for. Used where the employer wants verifiable identity facts. Resume: one page for a fresher, one to two pages up to roughly eight years of experience. Opens with your name and contact, then a short summary, skills, education, projects, experience. No date of birth, no father's name, no marital status, no photo unless appearance is genuinely part of the job. This is what almost all private-sector hiring expects. CV: long-form and exhaustive, used for academic, research, medical and some international applications. Lists every publication, conference, grant and course, and can run to six pages without apology. One caution: in India "CV" is often used loosely to mean "resume". If a recruiter at an IT services company asks for your CV, they want your two-page resume, not an academic document.

The exact biodata format, field by field

A biodata follows a predictable order. Do not get creative — the whole point is that a clerk can scan it in the same sequence every time. Use a plain serif or sans font at 11 to 12 point, single column, black text on white, with clear section headings. Header: the word BIO-DATA in bold caps as the document title, then your full name in the line below. Passport-size photograph top-right only if the advertisement asks for one. Personal Details: full name, father's name (and mother's name if the form asks), date of birth, age, gender, marital status, nationality, languages known, permanent address, correspondence address, mobile number, email. Add religion or category only where the application explicitly requires it. Educational Qualifications: a table, most recent first, with columns for qualification, board or university, institution, year of passing, and percentage or CGPA. Work Experience: organisation, designation, duration, key responsibilities. Freshers replace this with internships, training or academic projects. Worked biodata samples for different roles

Below are the parts people struggle with most — the education line, the experience line, the project line — written out for several kinds of candidate. Copy the structure and swap in your own facts. For a B.Tech fresher applying to a PSU or government technical post, the biodata is mostly the education table plus one training or project entry. For a school teacher, the qualification table carries B.Ed and CTET details, and the experience block names the board and the classes taught. For a bank or clerical applicant, typing speed, computer proficiency and language skills genuinely earn their place. For an experienced candidate in a manufacturing or family-run firm, the experience block should carry scope — team size, plant, shift — because that is what the reader is checking. Keep every line factual. If your CGPA is 6.8, write 6.8. Biodata is a document you sign a declaration under, and inflated marks or shifted dates are the fastest way to lose an offer at the verification stage. Government verification is thorough and slow, and discrepancies do surface.

Making a biodata ATS-friendly, and when to send a resume instead

Most applicant tracking systems are built to parse resumes. Upload a biodata to Naukri, LinkedIn or a company careers portal and the parser will often mangle it — photographs break layout, wide tables get flattened, and "Father's Name" occupies the prime top space where the system expects your skills. That directly hurts how you rank in recruiter searches on job portals. So the practical rule for 2026 is to keep two documents. A biodata as a clean Word or PDF file for offline, government and form-based applications where it is asked for by name. A one-page ATS-friendly resume for everything you apply to online. They share the same underlying facts; they simply present them differently. If you must upload a biodata to a portal, make it parseable: single column, no text boxes, no contact details buried in a Word header or footer, no images sitting behind text, standard section headings, exported to PDF from Word rather than scanned. Never submit a photographed or scanned copy where a digital file is accepted — a scan carries no extractable text, so the system effectively reads an empty file.

Common biodata mistakes that quietly cost interviews

The most common mistake is sending a biodata where a resume was wanted. Recruiters at IT services firms, GCCs and startups read hundreds of applications a week, and a document that opens with your father's name and marital status reads as unprepared. The second is padding. Biodata is a signed statement. "Hard-working, sincere and punctual" tells the reader nothing and cannot be verified. Replace personality adjectives with facts: certifications, marks, tools, durations. Third is inconsistency. Dates on your biodata must match your marksheets, your Aadhaar and any earlier applications. Government verification cross-checks these, and a one-year mismatch in a passing year can stall an appointment for months. Fourth is stale contact details and a casual email ID — use a firstname.lastname style address you actually check. Fifth is skipping the declaration and signature on a form that asked for them, which is an easy technical rejection. Finally, do not attach a casual or heavily filtered photograph.
